These are the terms and conditions that apply when you reserve a room at the Bayswell Hotel.
You will be asked to confirm your acceptance of these terms and conditions when you make a reservation.
We reserve the right to amend these terms and conditions at any time and you should therefore check them each time you make a reservation.
You must be at least 18 years old to make a reservation. There must also be at least one person over 18 years of age staying in each room.
Room charges and damage
You will be required to fully complete a registration card and provide a credit/debit card for any incidentals or additional costs which may occur during your stay.
We reserve the right to charge your credit or debit card for any damage done to your room during your stay or for any items that are missing when you leave. Pictures are taken of the rooms prior to your arrival and on check out as proof of any damage.
Please note all public areas and bedrooms are all non smoking, this policy allows us not only to meet legal requirements, but also to create a comfortable environment for all guests to enjoy.
Should we believe that guests have been smoking in bedrooms or any other part of the hotel, a Smoking Fine of up to £500 (dependent on the level of deep cleaning and loss of revenue from closure of the room) will be charged and guests may also be asked to leave the premises.
As our guest you are welcome to bring your dog into the grounds and they are welcome to join you in the drinks lounge providing that they are well-behaved (no barking or whining allowed!). For the comfort of other guests, we ask that you keep your dog on a lead and under control at all times. Dogs must not be left unattended. Bedrooms within the main building are not suitable for pets but our ground floor hot tub suites each have an enclosed terrace making them perfect for your four legged friends. A cleaning charge of £30 will be incurred per room to account for a deep clean of the hotel room following check out. Guide dogs, assistance dogs and hearing dogs are exempt from this charge. There is a maximum of 2 small/medium or 1 large dog(s) per room allowed. Please contact the hotel prior to booking to confirm a suitable room is available.
Complaints and Comments
Any complaint or comment regarding a stay should be made in the first instance to the hotels duty manager at the time of your stay so that it can be resolved at the time. If you are unable to do so please address your comments to: firstname.lastname@example.org
Relocation of Bookings
In the event that the chosen hotel is not available, or in cases of force majeure the hotel reserves the possibility of accommodating the customer totally or partially in a hotel of equivalent category for the same type of services. Any additional cost of the room, transport between the two hotels remain the responsibility of the hotel.
Following are the terms relating to the different rates that are available on booking with us.
Flexible Rate Bookings
Rates: All rates are covered under the flexible rate, with the exception of rates with the prefix NR (non refundable).
Cost: Cost reflects rates presented in the system only. These rates can only be overridden by the Rooms Manager or General Manager.
Maximum rooms: Only three rooms maximum can be booked under the flexible rate. Any booking comprising of four or more rooms must be treated as a group booking.
Deposit: No deposit is required on a flexible booking but full payment will be taken seven days prior to check-in.
Cancellation: Customers can cancel up until 7 days before check-in with no cancellation fee. Thereafter full payment will be taken.
Changing dates: Customers can change the date of their reservation up until 7 days before check-in at no cost. If a customer wishes to move their booking within the 7 days before they check in it will be treated as a cancellation.
Payment: Full payment for the flexible rate will be taken 7 days prior to checkin.
Non-Refundable Rate Bookings
Rates: All rates are covered under the non-refundable rate.
Maximum rooms: There is no limit to the number of rooms that can be booked under this policy.
Cost: Guests booking on the non-refundable rate are entitled to 10% off standard rate. These rates are listed with the prefix NR.
Deposit: Full payment will be taken at the point of booking, otherwise a booking will not be secured.
Cancellation: Should a customer choose to cancel a booking they will lose their full payment.
Changing dates: Should a customer choose to move dates they will lose their full payment.
Payment: Full payment must be taken at the point of booking.
Group bookings consist of a booking requiring four rooms or more. All group bookings fall under the non-refundable policy.
